Job Title: Administrative Assistant (Email & Calendar Management, Event Planning, AI Enthusiast)
Job Description:
We are seeking an organized, detail-oriented, and proactive Administrative Assistant to support our team with a variety of tasks, including email and calendar management, event and travel planning, process creation and implementation, and bookkeeping (when time permits). This is a dynamic role that requires someone who can manage multiple priorities, work independently, and has a passion for technology and efficiency.
Key Responsibilities:
Email & Calendar Management:
- Monitor and manage incoming emails, prioritizing and organizing responses.
- Schedule meetings and appointments, ensuring no conflicts and providing timely reminders.
- Coordinate with team members to ensure smooth calendar management.
- Prepare and send follow-up emails and manage tasks associated with calendar commitments.
Event & Travel Planning:
- Plan and coordinate corporate events, meetings, and conferences.
- Organize travel itineraries, including flights, accommodations, and transportation.
- Ensure all details are in place for smooth execution of events and travel logistics.
Process Creation & Implementation:
- Develop and streamline internal processes to enhance efficiency and effectiveness.
- Collaborate with team members to identify areas of improvement and implement best practices.
- Ensure that processes are documented, followed, and continually optimized.
AI Enthusiast (Technology Savvy):
- Stay up to date with the latest developments in AI and productivity tools.
- Identify opportunities to integrate AI tools and software into workflows to improve efficiency.
- Assist in researching and testing new AI technologies that could enhance business operations.
Bookkeeping:
- Assist with basic bookkeeping tasks such as invoicing, tracking expenses, and maintaining financial records.
- Collaborate with the finance team to ensure accurate financial data is maintained.
Qualifications:
- Proven experience in administrative support, office management, or a related field.
- Strong proficiency in email and calendar management software (e.g., Google Workspace, Microsoft Outlook).
- Experience with event planning and travel coordination.
- Basic bookkeeping knowledge (QuickBooks or similar tools is a plus).
- Tech-savvy, with a keen interest in AI tools and automation.
- Excellent written and verbal communication skills.
- High attention to detail and ability to prioritize tasks effectively.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and proactive approach to challenges.
Preferred Skills:
- Familiarity with AI tools like chatbots, automation platforms, and productivity applications.
- Experience in process development or process improvement initiatives.
- Previous experience with financial software or tools is a plus.
